What we keep

The board keeps a membership directory of the homes in Greystone Estates West: each owner's name, home address, and email address. Owners give us this information, or it comes from the association's records and our management company. We do not buy, rent, or collect addresses from anywhere else, and this website has no sign-up form.

Email we send

We only email homeowners about association business. For an online vote, that means:

• An invitation with your personal voting link.
• Reminders, sent only if you have not voted yet.
• A notice when the results are published.
• One-time sign-in codes, sent only when you ask for one.

We do not send advertising, and we never sell or give your information to anyone for marketing. If you would rather not receive these emails, or your address has changed, email the board at hoa.greystoneestateswest@gmail.com.

Voting emails come from ballots@greystoneestateswest.com.

Your vote

Votes are secret unless the board decides in advance to hold an open (recorded) vote. On a secret ballot, no one, including the board, can see how you voted; the board can only see whether you have voted. On an open vote, you are told before you vote that the board can see each person's choices.

Results show combined totals.

Who else handles it

This website and the voting site run on Cloudflare. The voting system's server and email delivery run on Amazon Web Services. These companies store and send information for us and do not use it for their own purposes.

This website does not use cookies. It counts visits with Cloudflare Web Analytics, which records which pages are viewed, the referring site, and the general location and type of device, without cookies and without identifying you. It remembers your light or dark theme choice in your browser only. Links to the Young Management Group portal and the neighborhood Facebook group lead to sites with their own privacy policies.
